This Wasco County District Attorney's Office currently has two openings available for an Office Assistant.
Position 1: 1.0 FTE (37.5 hours per week)
Position 2: .8 FTE (30 hours per week)

Summary:
Under the direction of the District Attorney and the Office Manager, the individual in this position assists with the daily administrative operations of the District Attorney’s Office.  Performs administrative support activities of limited complexity that are clerical in nature and which require knowledge of the criminal justice system and confidential handling of sensitive information.

MINIMUM QUALIFICATIONS
Essential Functions (greater than or equal to 90% of time):

  • Types forms, correspondence, requisitions, simple tabulations and materials from copy, rough draft, or simple oral instructions; proofreads documents.
  • Files and indexes material alphabetically or numerically and conducts simple file and record searches; logs in documents for public record.
  • Posts to various departmental records according to standard procedures.
  • Acts as desk clerk or receptionist, answering routine inquiries of public and giving out forms and documents; refers callers to proper sources.
  • Maintains routine records pertinent to departmental operations.
  • Prepares departmental materials and supplies for shipment of mailing.
  • Responsible for daily, weekly and monthly reconciliation of billings for department A/P and A/R expenses.
  • Prepares records request(s) for partnering agencies and the public.
  • Tracking of crime lab results in LOIS (Oregon State Police Crime Lab) and post to PBK (Prosecutor by Karpel).
  • Maintenance of grant records and expenses.

Secondary Functions (less than 10% of time)

  • Acts as backup for Grand Jury preparation and contact.
  • Purchase office supplies as needed.
  • Participates in staff meetings, special projects and training events.
  • Acts as a department representative at network meetings and/or trainings
  • Covers the front desk as needed, performing customer service and office assistant tasks (i.e. processing payments, preparing records for public, grand juror prep).   
  • Interacts with citizens, victims, offenders, applies knowledge of departmental regulations and procedures in answering inquiries and problem solving.

Scope and Accountability:
The individual in this position will have no supervisory oversight of other staff.

Knowledge, Skills, and Abilities:
The job specification requirements stated are representative of minimum levels of knowledge, skills, and abilities to perform this job successfully.  Any satisfactory equivalent combination of experience and training which ensures the ability to perform the work may substitute for the above so that the individual will possess the abilities of aptitudes to perform each duty proficiently.

  • Graduation from a senior high school, preferably supplemented by college or business school training.
  • Two years responsible office experience, or any satisfactory equivalent combination of experience and training.
  • Possess effective communication skills, both verbal and written.
  • Ability to work collaboratively with a strong team.
  • Ability to keep regular and predictable attendance.
  • Ability to maintain valid driver’s license with good driving record.
  • Experience using EDEN preferred, but not required.
