Provides quality customer service to office visitors and staff. Performs clerical duties according to this office’s standard procedures, requiring skill using a computer, typing, word processing, electronic filing and operating a variety of software applications. Supports a team environment through effective communication.

Essential Functions:

  • Acts as this office’s front desk clerk, answering various customer and public inquiries. Has direct contact with clients and applies knowledge of departmental regulations and procedures in answering inquiries and problem solving.
  • Maintains regular and predictable attendance.
  • Maintains routine records pertinent to departmental operations. Enters offender information and other data into Oregon Department of Corrections information systems.
  • Assists with arranging client appointments and explaining rules and requirements.
  • Coordinates with other counties to obtain reporting instructions for offenders who live outside of Wasco County.
  • Maintains files and indexes material alphabetically or numerically and conducts file and record research. Logs confidential client records for staff and treatment providers.
  • Prepares forms, correspondence, and materials from copy, rough draft, or oral instructions.
  • Proofreads documents effectively.
  • Prepares departmental materials, supplies and collected samples for shipment or mailing. Documents and distributes departmental mail.
  • Collects, records, tracks & deposits all fees pertinent to probation supervision. Reconciles funds daily.
  • Any employee may be required by their manager to perform any of the duties described in his/her position description, and other duties which may be necessary or desirable and for which the employee is qualified.
  • Posts to various departmental records according to standard procedures.

  • Graduation from a senior high school, preferably supplemented by college or business school training and two years responsible office experience or satisfactory equivalent combination of experience and training.

Knowledge, Skills, and Abilities:

  • Ability to maintain harmonious relationships with other employees and the public.
  • Ability to learn and apply knowledge of the laws and regulations related to office practices and procedures.
  • Ability to learn assigned clerical tasks and adhere to prescribed departmental routines.
  • Ability to perform complex clerical functions.
  • Ability to work well under pressure, meet deadlines and at times deal with irate customers.
  • Possess effective communication skills, both verbal and written.
  • Possess quality cash handling skills.
  • Ability to work collaboratively with a strong team.
  • Ability to maintain a valid driver’s license with good driving record.
  • Ability to obtain notary certification.
